Answer email faster without sounding like a robot

Draft replies, follow-ups and hard messages in a few minutes.

Time

About 8 minutes

You'll need
  • A Claude account
  • An email you've been putting off answering
When you're done
  • You can turn a customer email into a good reply in under a minute
  • You know how to handle the hard ones calmly

The emails that eat your time aren't the easy ones. They're the upset customer, the late payer, and the "can you do it cheaper?" You know what you want to say, but getting the tone right takes twenty minutes.

Claude gets you a solid first draft in seconds. You stay the editor.

Our example is a made-up customer named Pam who is unhappy with a landscaping crew.

Step 1: Say how you want to come across, then paste their email

The message box with a request to reply without groveling, followed by the customer's complaint.

Start a New chat. First, tell Claude what you want the reply to do. Then paste the customer's email underneath. We wrote:

A customer sent this. Help me reply. I want to apologize without groveling, fix it this week, and keep them as a customer. Keep it short and sign it Dave.

Step 2: Read the draft

Claude's reply: an email to Pam that owns the mistake and offers to repair the flower bed at no charge.

Claude writes a short reply that owns the mistake and offers a specific fix. Check two things before you use it:

  • Is the fix real? Only promise what you'll actually do. If Claude offers a free repair and you'd rather give a discount, say so.
  • Does it sound like you? If not, ask: "Make it sound more like me: shorter, more casual." The sound like you guide sets this up for good.

Step 3: Copy it, or ask why it chose that

The end of the email with the Copy button marked, and Claude's note explaining why it ended with a question.

When it's right, click Copy on the email and paste it into your reply. Claude often adds a short note explaining its choices. Here it ended with a question so Pam starts planning the repair instead of deciding whether to leave.

The late payer:

Write a friendly but firm reminder for an invoice that's 30 days late. Include the amount and due date I give you and one easy way to pay. Don't sound angry.

"Can you do it cheaper?":

A customer asked if I can lower my price. Help me say no politely but offer one smaller option that fits their budget. Here's their email:

Saying no to a job:

Help me turn down this job kindly. It's not work we do. Recommend they look for a specialist, and leave the door open for future work. Here's their email:
