Map / The whole brain on one screen
The tools you already use, all pointed at one page.
A company brain is a map more than a product. The Start Here page sits in the middle and says where every kind of thing lives. Each of the eight branches is a job your business already does, and the logos are the tools most small teams already pay for. Pick a branch to see what goes there and the one rule that keeps it tidy.
Start Here page
One short page that says where every kind of thing lives, and links the rules, the meetings index and the customer pages.
The rule: Every person and every AI reads it before saving, filing or creating anything.
INDEX.md in WE•DO / 00 Start Here, on our shared Google Drive.

Files & records
A folder per customer, project and process, each built from the same template, with one living wiki page on top. Not sure where it goes? Put it in the Inbox. Never delete; move it to _HOLD.
At WE•DO: 20 Clients / <Client> / <Client> Wiki.md, 25 client wikis on one template.
Rules
One list of how you do things. Each rule gets an ID, an owner, a date and a status. Only Active rules count, and if anything disagrees with the sheet, the sheet wins.
At WE•DO: The WE•DO Rules sheet. Rules are cited by ID, like R-005.
Tasks
Every piece of work as a task, linked to the customer it is for, with an owner and a due date. If it only lives in a chat or a doc, it is not a task yet.
At WE•DO: ClickUp. Fixes to the brain itself go in the WE•DO Brain Tasks list.
Email & chat
Day-to-day conversation with customers and the team. Fast, but hard to search later. When a decision is made in a thread, copy it into the customer page as a dated note.
At WE•DO: Gmail and Slack. Dated client notes go in each client's 05 Meetings & Notes folder.
Meetings
A single list of every meeting with the date, the customer, and links to the recording and the AI note taker's notes. Recordings and transcripts stay in the note taker. The index only links to them.
At WE•DO: The WE•DO Meetings sheet, filled every morning from Granola, Fathom and ClickUp Notetaker.
AI assistants
Every AI tool on the team gets the same opening line: read the Start Here page first, then follow the rules. AI leaves a trace of what it did, and nothing goes to a customer without a human OK.
At WE•DO: Claude with a shared brain skill and a preferences line. Agent work is tagged, like [Mike-AI].
Passwords
Logins, API keys and tokens for every tool and every customer account. Passwords never go in a doc, a sheet or a chat message. Share them from the vault.
At WE•DO: 1Password, in one shared team vault that agents and people both use.
Money & admin
Invoices, pay, ownership and legal records. Linked from the brain, never stored in it. Money lives behind owner-only access, so sharing the brain never shares the books.
At WE•DO: The WE•DO Admin drive, owner only.
How to read the map
The lines matter more than the logos
One Start Here page. It is short, it lists where things go, and it is the first thing every person and every AI reads.
Each branch is a kind of knowledge: records, rules, tasks, talk, meetings, AI, passwords and money. Each one has a single home.
Swap any logo for the tool you already use. Drive or Dropbox, ClickUp or Asana, Claude or ChatGPT. The structure stays the same.
